The University of London’s School of Advanced Study has a world-renowned reputation, underpinned by a busy schedule of events and seminars attracting 21,000 attendees each year.
Their events team needed a system that could be tailored to meet their exact requirements but without the risk and cost associated with building a bespoke system. Quba’s event management technology Symphony was the perfect solution.

All events in one system

Their existing events system had become difficult to use and maintain. As a result, many internal administrators were simply bypassing it—a problem for event managers trying to monitor activity.
With nine separate institutes in the school, a new event system was needed that could provide centralised reporting and the flexibility for each department to control their own programme of events.
Quba implemented Symphony with customised components to handle a wide variety of events, from small seminars to major conferences.

A SaaS product tailored to meet their needs

Our event software team got to work running group sessions with event administrators to capture requirements and build a specification to adapt Symphony.
Working closely with internal IT teams was vital to understand the various data sources and how these would need to integrate with Symphony.
By selecting Symphony the University acquired a proven SaaS product that Quba were then able to customise. This gave them the standard solution they desired with the added benefit of continuing development to their specification.

Powerful integrations

We created a series of 98 integration tools across more than 10 websites to allow users to control how the information created and managed in the events system is displayed.
By customising information display in this way, Quba leveraged the power of different platforms, making it easier and much faster for users to access event information without needing to switch between multiple websites.
Additionally, we integrated with Adobe InDesign and EasyCatalog to produce a highly structured events brochure at the touch of a button, and integrated all financials with the Agresso accounts system.

An integral part of their operation

After 12 months of successful use, the Symphony system was internally promoted from a development project to being classed as a standard production and support tool for the University of London. 
It is now a fundamental part of the University’s technological fabric and an indispensable component of their amazing events programme!
